Event Assistant (Detail-Oriented Creative)

About the Role

After-School All-Stars Hawaii is seeking a highly detail-oriented, creative volunteer to support planning and execution of our annual All-Stars Affair fundraiser on Aug. 21, 2026. This role is ideal for someone who proudly identifies as a “details person,” enjoys working in Canva and Excel, and finds joy in thoughtful touches like assembling table favors and event materials.

You’ll work closely with a one-person Development and Communications team, helping bring important behind-the-scenes pieces together so the event runs smoothly and professionally.

Key Responsibilities

Planning & Production Support (6–8 weeks prior):

• Assist with creating and formatting materials in Canva (signage, simple graphics, print pieces)

• Help maintain and update Excel spreadsheets (guest lists, tracking documents, inventory)

• Support assembly of table favors and event collateral

• Assist with proofreading materials for accuracy and consistency

• Help with printing, organizing, and packaging materials during scheduled in-office days

• Provide general administrative and creative support as needed

Event Day Support: (optional)

• Assist with event setup and breakdown

• Support on-site logistics and last-minute details

We’re looking for someone who:

• Self-identifies as highly detail-oriented
• Enjoys working in Canva and Excel
• Is organized, reliable, and follows through on tasks
• Has a creative eye for presentation and small design touches
• Is comfortable working independently from home
• Can communicate clearly and meet agreed-upon deadlines
• Is available for some in-office work on Oʻahu and on the day of the event
• Brings a positive, can-do attitude and flexibility

Time Commitment

• Most work will happen 6–8 weeks before event: Flexible hours, primarily remote
• In-office days: Scheduled as needed for printing and assembly
• Event day: Full or partial day support required

Estimated time: ~3–5 hours per week leading up to the event (flexible based on availability).
